- Experience working in an office setting
- Fluent in written and spoken English
- Training in conflict resolution or related topics is an asset
- Life experience related to the client group is an asset
- Good to excellent computer skills
- Is or will become familiar with the basic concepts of Opiate Replacement Therapy in addiction treatment
- Non-judgemental and accepting attitude
- Excellent interpersonal skills and communication skills
- Good computer skills, experience with Macs helpful
- Ability to operate and maintain office equipment
- Excellent organization, and time management skills
- Meticulous and accurate

Duties and Responsibilities

- Maintains strict confidentiality in matters pertaining to patients who attend the clinic.
- Greets and directs patients and visitors, maintains a courteous welcoming atmosphere
- Answers the telephone, responds to routine queries and refers all clinical calls and queries to the Clinic Nurse, Counsellor, or the Clinic Physician in an appropriate and timely manner
- Prepares patients charts for the physician in anticipation of patient visits prior to each clinic day
- Prints day sheets with scheduled patients for the physician, nurse and counsellor
- Identifies ALL patients as they present for appointments; Records all patient encounters on the day sheet.
- Ensures patients are seen and rebooked for follow up appointments and all duplicate prescriptions and relevant forms and documents are scanned into patient charts.
- Pulls respective charts and informs the doctor that the patient is present
- Ensures a smooth flow of office traffic
- Ensures that the patient information is conveyed as requested and received in a timely matter with appropriate parties and as directed by the physician
- Enters patient data into the EMR, and create new electronic charts as well as partial paper charts
- Book and coordinate patient appointments for the physician, nurse and counsellor as directed and according to established procedures
- Assists the physicians to ensure that all duplicate prescriptions are meticulously processed as per protocol.
- Receives and sorts all incoming mail and faxes
- Prepares outgoing mail and faxes
- Scans all relevant documents and forms into the patient's EMR upon receipt, and ensures that important documents are reviewed by the physician with urgency
- Operates a variety of office equipment such as telephone, computer, printer, copier, fax, coffee maker at Cetera, and perform routine maintenance and cleaning of office equipment
- Prepares, checks and processes documents as directed; maintain filing systems, patient charts and records, logs, lists and other files and records as required, and according to established procedures
- Collects fees from, and provides receipts to patients if indicated
- Handles petty cash according to policies and procedures
- Performs routine office procedures according to guidelines, including office open up and lock up
- Maintains an orderly office environment, ensuring all areas of the office are maintained in a clean and tidy matter
