- PRISMA is seeking an experienced organizer, not (necessarily) a musician. We’d love it if you can tell a harp from a harpsichord, and experience in arts administration is a plus, but management is your biggest strength
- You’re the type of person that works both independently, and within a team
- You have positive energy, you are creative, and flexible
- You’ll be taking the lead in many aspects of festival execution, so you have project/event planning and management skills, experience in managing others, the ability to delegate tasks as needed and excellent written and verbal communication
- You are fluent in technology – namely, you get along well with computers and can easily navigate Microsoft Office applications and web-based platforms such as Zoom, Google Drive, Dropbox and social media
- You are detail-oriented with the ability to multitask in a fast-paced environment
- You have physical stamina to work long days during the festival

Duties and Responsibilities

- As PRISMA’s Festival Director, you will to lead our team year-round in festival execution & event planning
- The Festival Director will report to the Artistic Director, and work collaboratively with the Marketing Director, Finance Director, Academy Manager, Development Manager, Production Manager and Community Outreach Manager
- Plan and execute public and private events under the PRISMA banner, including festival concerts, our Sail to the Symphony tour, a spring concert series, Annual General Meeting, fundraising receptions, VIP events, and more
- Support the Community Outreach Manager in the planning and execution of PRISMA on the Beach, a free community event drawing 2,000+ participants and dozens of vendors • Support the Membership Manager in coordinating the execution of membership perks in conjunction with the PRISMA Festival (hospitality tent, priority seating, etc.)
- Support the Development Manager and Marketing Director in the execution, delivery and dissemination of sponsorship deliverables, as needed
- Organize and schedule spaces for PRISMA Festival & Academy rehearsals and lessons
- Book accommodation and caterers
- Participate in hiring and overseeing operational support staff
- Coordinate sourcing, distribution, and return of rental and loaned instruments and short-term equipment
- Assist Artistic and Marketing Directors with administrative tasks throughout the Festival, including the gathering of data
- Work with Production Manager, Academy Manager and other on-site staff on projects as needed
- Create and maintain detailed operations sheets and records for all events
- PRISMA has an enthusiastic team of volunteers, as Festival Director, you will also act as Volunteer Coordinator
- Collect details on volunteer needs for all departments, review our volunteer pool, recruit volunteers, ensure all events are adequately staffed with volunteers and the volunteers are well placed
- Plan and execute volunteer orientation sessions
- Work with the Academy Manager to find suitable homestays for a small contingent of students
- Ensure required documentation and criminal record checks are completed
- Track volunteer time

- Provide reports as necessary
- Organize a wrap-up event
- Other duties as assigned/required

Additional Details

This is a year-round part-time position. Hours can be flexible, but they need to be consistent. Our team is relying on you, just like you will be relying on them.

Note: The PRISMA organization has passed a policy that all staff and contractors must have been fully vaccinated against COVID-19 by Dec. 3, 2021.
